They often feel like there’s not enough time to get everything done, but it’s important to examine our ability to stay focused on the task at hand instead of blaming a lack of time. We all have the same amount of time in a day, but it’s how we use that time that matters.

While there are various factors that can contribute to difficulty staying focused, such as fatigue, stress, or environmental distractions, it can also be a symptom of underlying conditions like ADHD, anxiety, post-traumatic stress disorder or depression. If you’re struggling with focus, it’s important to identify the root cause and seek professional help if needed.

Let’s explore some practical tips and techniques to help you stay focused, increase productivity, take control of your time and make the most out of each day.

1. Eliminate distractions

While it may be impossible to eliminate all distractions, you can minimise them by doing things like:

  • Find a quiet space to work and close your office door.
  • Turn off your phone notifications.
  • Request for non-interruption during your work hours.
  • Close unnecessary programs or apps on your computer.
  • Play calming ambient music to keep yourself focused.
  • Declutter your workspace.

By reducing potential disruptions, you can direct your energy towards the task at hand and remain engaged for more extended periods.

2. Practice the Pomodoro technique

This technique is a popular time-management method that aims to improve productivity and focus. It was developed in the 1980s by Francesco Cirillo, a university student who was struggling to stay focused while studying.

The principle involves breaking your work into short, focused bursts of activity, with regular breaks to rest and recharge. It involves working in 25-minute intervals, known as “Pomodoros”, followed by a short 5-minute break. After four Pomodoros, take a longer 15–20 minute break to rest and recharge.

By working in short intervals, you can maintain your focus and avoid becoming overwhelmed or burnt out. The also helps to reduce distractions and procrastination by providing structure and accountability.

3. Set SMART goals and priorities

Before you start working on any task, it’s essential to set clear goals and priorities so you’re working on the most important tasks. Make sure to break down your goals into smaller, achievable tasks.

SMART stands for:

  • Specific: A goal should be clear and well-defined, outlining exactly what needs to be achieved.
  • Measurable: A goal should be measurable so that progress can be tracked and evaluated. This includes establishing metrics and defining what success looks like.
  • Achievable: A goal should be realistic and attainable based on available resources and skills.
  • Relevant: A goal should be relevant to the objectives of the individual or organisation, and should align with overall strategy and values.
  • Time-bound: A goal should have a specific deadline or timeline attached to it, providing a sense of urgency and accountability.

When you take a complex project and break it down into smaller tasks, you can improve your ability to concentrate and focus on specific tasks. That’s because you end up with goals you feel like you can accomplish.

4. Prioritise sleep and exercise

Sleep and regular exercise are essential for maintaining focus and productivity. Exercise can help boost your energy levels and help you stay focused throughout the day. Not getting enough sleep most nights of the week can negatively impact both your short and long-term memory, as well as your ability to concentrate.

To promote better sleep, it is recommended that adults get 7 or more hours of sleep each night, while older adults may need up to 9 hours. Strategies to improve sleep include avoiding caffeine after lunch, turning off electronic devices before bedtime, winding down with relaxing activities like reading a book, a warm bath or soothing music.

5. Have a to-do list (Prioritise your tasks)

Creating a to-do list can be overwhelming as the number of tasks adds up. However, having a written plan has been shown to boost productivity. To make your list more effective, prioritise two or three crucial tasks and put them at the top. You can then rank the remaining items in order of importance. This approach allows you to tackle urgent tasks when you have a fresh mind and high energy levels.

6. Put a lock on social media

If you find yourself regularly scrolling through social media instead of working, it might be time to consider using an app that blocks these sites. Several apps are available for phones, tablets, and computers that not only block social media, but also other online distractions such as games, YouTube, Netflix, and email. By using apps like Freedom, AppBlock, FocusMe, and Focus, you can improve your productivity by limiting your time on social media and other distractions.

7. Fuel your body

We all know what happens when “hunger” strikes; not only does it impact our mood, but it can also hinder our ability to focus. To avoid this, it’s important to prioritise regular meals and snacks throughout the day. A balanced diet can help keep your energy levels up and your emotions in check. Additionally, snacking on fresh fruits, vegetables, nuts, or seeds can help curb hunger in between meals, while staying hydrated with water. This is crucial for overall brain function.

8. Create a productive work environment

Your environment can have a significant impact on your ability to stay focused. Make sure your workspace (even the work-from-home office) is comfortable, well-lit, and free from distractions. Consider playing some background music or white noise to help you stay focused.

9. Avoid multitasking

If you find yourself constantly switching between different types of tasks and struggling to stay focused, try grouping similar tasks together and focusing on them one at a time. This can make transitions smoother and help you accomplish more by avoiding the constant jumping between different types of tasks.

Contrary to popular belief, multitasking is not an effective or efficient way to work, especially when you’re having difficulty staying focused. A 2019 study suggests that the human brain is not capable of multitasking and performs better when focusing on a single task at a time.
